DBS For Reachout Employees


1. Info before you start

A DBS check, which stands for Disclosure and Barring Service check, is a criminal record check that helps us to assess your suitability for working with young people at ReachOut. 

 

At ReachOut we require all of our Staff Members to have a valid DBS certificate that has been undertaken by ReachOut. 

 

You will need to complete a DBS with us if:

  1. You have been offered a job at ReachOut. Completing a DBS is part of our safer recruitment checks and you will not be able to start employment without one. 
  2. You are are a current staff member and your DBS is older than two years and you have not yet registered to the Update Service.


2. Self-Declaration

Please follow this link to read our policy statement on recruiting applicants with criminal records, advice around disclosures and if relevant, complete the form to make a self-declaration. Responses are only visible to our safeguarding team and please note that a criminal record will not necessarily prevent you from working with us.


3. Guidance to Filling out your DBS application

3.1 Find your Route

To fill out your DBS application please click on the relevant link below. If you have a current valid UK passport and a current valid UK driving license please following route 1. If you don’t have one or either of these please follow the link in route 2, choosing the applicable location.

You will follow Route 1 – this means you’ll be prompted to have your documents processed digitally. This is the best way to complete your DBS but if you have any probelems, you’ll be directed to continue using Route 2 instead. Please follow the link below depending on your location:

You will follow Route 2 – this means we will have to check your ID online via a teams call and once your application is complete you will need to bring your ID into the office to be checked by the Operations Officer.  Please follow the link below depending on your location:

3.2 Address History

You will need to enter in your last 5 years of address history.

Your DBS will be posted to your current address so please do bear this in mind as you will need to be able to have your physical certificate.

3.3 Upload images of three forms of ID

Please see Section 4. DBS ID Documents for further information on what ID you can use, 

Please note that the address on at least one of your IDs must match the address you enter as your current address on your DBS application form. If the address on your ID doesn’t match, your DBS application will not be accepted.

3.4 Complete your ID Check

Once you have filled in your application you will need to complete an ID check to verify the ID documents that you uploaded onto your application. 

The way you verify your documents depends on whether your took Route 1 or Route 2. Please see below: 

If you took Route 1, you will need to complete a digital ID check. This will involve the following steps. 

  1. Download an App
    Get either the Post Office EasyID app or the Yoti app on your smartphone. Both are free and work on most devices.

  2. Register on the App
    Open the app and follow the steps to register your details.

  3. Link to Your DBS Application
    Once registered, go to the Ucheck website and scan the QR code shown there. This links your app to your DBS application.

  4. Verify Your ID
    You’ll be asked to scan your ID documents and take a photo of your face to confirm your identity. Don’t worry — the photos are secure and won’t be seen by anyone.

  5. Let Us Know
    When you’ve finished, email HR@reachoutuk.org to confirm. We’ll then approve and submit your application.

Tip: If you’re scanning your passport, remove any phone or passport case to avoid issues.

  1. Book in a Teams call with Jasmin Kees via this link. We will then be able to verify your documents manually.
  2. Please bring the physical copies of your 3 ID documents to the meeting. 


4. dbs Documents

You’ll need to provide three documents for your DBS application, and these must include one document from each of the three categories listed below. Please expand each section to see which documents are accepted.

Please use at least 1 document from this category. You can use another document from this category as your 3rd ‘additional’ document. We will need to see this in physical form in the 1.1 meeting if using Route 2 rather than a copy or scan.

  • UK birth certificate (issued at birth)
  • Driving license – full or provisional from any country
  • e-Visa: Accessed via the ‘View and Prove’ service. If you do not have a UKVI account to access your eVisa you can create you can create one online (Get access to your online immigration status (eVisa) – GOV.UK)
  • UK issued biometric residence permit (BRP)
  • Birth certificate from any other country  
  • If you have 2 passports from 2 countries – you can only use one of them  
  

You will need 1 document from this category and the address must match the address used on your application as this is where your DBS will be posted.

All of the documents below must have been sent to you through the post. We can not accept documents shown to us from online banking or other online accounts. 

  • UK driving license – full or provisional with the correct address matching your application (you will need to provide a different document for section A)
  • Bank statement from the last 3 months – you can ask your bank to print of a copy for you, or print it yourself and ask them to stamp & sign this to endorse
  • Utility bill from the last 3 months (e.g. water, gas, electricity – not phone)
  • Council tax statement from the last 12 months  
  • Mortgage statement from the last 12 months  
  • Letter to say you have opened a bank account from the last 3 months  
  • Credit card statement from the last 3 months  
  • HMRC self-assessment letters or tax demand letter
  • Government document giving entitlement.
    • For example: Personal Independence Payment (PIP), free school meals, universal credit, asylum support etc
  • Screenshot or print out from online banking
  • Print out from utility company website 
  • Tenancy agreement  
  • NHS letter  
  • National Insurance letter  
  • Phone bill  

 

 

  

You will need a third document which can come from section A or B above or be one of these other documents:

  • P45 or P60 from the last 12 months

  • Letter from your college or University to confirm you’re in full-time education (only acceptable If you have no other documents to provide and you are 19 or under)  
  • Marriage/civil partnership certificate
  • HM Forces ID card or HM Armed Forces Veteran card
  • Firearms licence
  • University letter if you are over 19 years old  
  • Loyalty cards 
  • Credit cards  
  • Student ID

5. Subscribe to the Update Service

At ReachOut we require your DBS to be added to the Update Service as part of best safeguarding practice, helping to ensure your checks remain valid and up to date. 

Important information about subscribing to the update service

  • You must register for the service yourself, and it is essential that you do this as soon as you receive your DBS certificate. This is because you can only register for the update service within 30 days of your DBS being issued. 
  • The cost to register is £16.00 – this can be reimbursed by following our normal expense claim procedure. Please complete the staff expense form and send your receipt to your line manager for approval. For new starters, this can be done once you have started employment with us.
  • Please note: During your employment with ReachOut, you are required to remain on the Update Service. However, once your employment with ReachOut ends, it becomes your responsibility to either cancel or maintain your subscription. ReachOut will not be liable for any payments associated with the Update Service after your employment has ended.

What you will need: 

  • Basic personal information such as your name, e-mail address etc.
  • You DBS certificate number – this is a unique 12 digit number that is located on the top right corner of the first page of your DBS certificate.  
  • You credit / debit card to pay for the subscription.
  • Subscribe to the Update Service via this link. 
Things to note during the registration process: 

  • Please use your personal e-mail address to register
  • When asked, “Does the above Application/Certificate relate to a voluntary position?”, please select No.
Your Update Service ID

When you join the Update Service, they will give you a unique ID that begins with the letter C followed by 10 numbers. To keep your account secure, please: 

  • Make a note of your ID and keep it safe as you will need this to access your account. 
  • Do not share this with anyone else. 

If you forget your Update Service ID, you can call the Update Service directly at 03000 200 190. 


6. Next steps

  • Once you have filled in your DBS application and completed your ID check  please e-mail HR@reachoutuk.org to confirm this.
  • After receiving this information, ReachOut will approve your DBS application, and it will be submitted for processing, where it will go through police checks. This stage typically takes 1–2 weeks, though in some cases it may take longer
  • Once your DBS certificate has been processed and cleared, HR will receive a digital confirmation that your DBS has been issued. You will then receive an e-mail from HR@reachoutuk.org with your DBS certificate number asking you to subscribe to the Update Service (guidance above in section 5). Please do this as soon as possible as you only have 30 days to subscribe. 
  • Please also look out for your physical certificate as it will be sent to you in the post at the address provided in your application.
  • If you followed Route 2, we will need to see your DBS certificate and the 3 pieces of ID used in your DBS application in person, so please bring this with you into the office for a member of the Operations team to check.
IMPORTANT
Please make sure that you keep your physical certificate safe and easily accessible as you will need this if you are visiting schools. If you lose your certificate this will incur a cost to ReachOut as we would have to reissue you with a brand new DBS. 

FAQs

Once you have filled out an online DBS application, you will need to make sure that you have used either route 1 or route 2 to submit and verify your ID documents. 

If you have chosen route 1, remember to e-mail hr@reachoutuk.org to let them know this has been completed and ReachOut will then approve and submit your application.

If you chose route 2, please book a meeting with HR as soon as possible as your application will not be sent for processing until after your documents have been verified.   

If you have followed the above steps you still have not received your certificate, please get in touch at HR@reachoutuk.org to let us know.

If you have read the DBS document guidance above and think that you do not have 3 ID documents – please get in touch with us at HR@reachoutuk.org.

For example, if you have recently moved house and have no documents that match your new address, you can change your address details with your bank or utility provider and request a new statement/bill with your new address on.  

If you are still struggling, please get in touch with us.  

 We do not accept existing DBS certificates for Staff Members, even if your DBS is on the update service. 

The only caveat is if you have previously volunteered with ReachOut, and ReachOut have performed the DBS check. As we have previously seen your documentation, we would be happy to proceed with the start of your employment, however we would still require you to complete a new DBS with us.
